Transition News from Lake City Bulletin (September 11, 2020 issue)

The following information regarding the Lake City Army Ammunition Plant transition to Winchester was included in the September 11, 2020 issue of the Lake City Bulletin.

iconReporting to Work for Winchester

The LCAAP transitions to Olin Winchester, LLC on October 1. Wondering when you need to report to work for Olin Winchester? By now, you should have been notified of your assignment effective October 1. Please show up on your regularly scheduled shift. If you have not been notified of your assignment and think you should have been, visit the Winchester HR offices in Building 3 Mezz.

iconImportant Payroll Information

Olin Winchester will take full operational control of LCAAP on October 1, which falls in the middle of a pay period. You will still get paid on the normal bi-weekly schedule of October 16; however, you will receive two paychecks for that pay period—one from Northrop Grumman and one from Olin. The paycheck you receive from Olin will apply deductions for your new Olin benefits.

If you have submitted your Direct Deposit form to Winchester HR and it does not need corrections, you will receive your paycheck via direct deposit. For those that need to correct their forms and do not in a timely manner, you will receive a paper check in the mail at the address on file.

iconMark Your Calendar for 401(k) Enrollment

Starting September 14, 2020 through September 28, 2020, Olin Corporation will offer a special pre-enrollment window in the Olin Corporation Contributing Employee Ownership Plan (Olin CEOP) — Olin’s 401(k) retirement savings plan. This window is available for employees at LCAAP who will join Olin Winchester, LLC on October 1, 2020.

During this special pre-enrollment window, you can pre-enroll in the Olin CEOP by choosing how much you want to save (your contribution rate election) and how you want your contributions invested (your investment elections). By making these selections during the pre-enrollment window, you’ll be enrolled in the Olin CEOP as of October 1 and your contributions to the plan will begin as soon as administratively possible after that date. If you don’t make your Olin CEOP elections during the special September pre-enrollment window, you will be automatically enrolled in the plan in November 2020 unless you opt out.

Outstanding loan reminder! If you have an outstanding loan in your current or prior 401(k) plan, Olin cannot take payroll deductions to repay any pre-existing loan taken under another employer’s 401(k) plan.

iconPaid-Time Off Transfers

As part of the LCAAP transition, Olin Winchester will receive a Paid-Time Off (PTO) balance from Northrop Grumman. However, prior to September 30, we suggest you check your PTO rollover balance to ensure it matches Winchester records once the transition is complete and to prevent a negative balance.

iconHealthcare ID Cards

If you enrolled in medical, dental or the healthcare flexible spending account for Q4 2020, you will receive new ID cards no later than October 1. Once new cards are received, you will need to share the information with your physicians and pharmacist to ensure claims are processed correctly after October 1. There is no ID card issued for the vision plan.

You can expect ID cards, if applicable, from the following carriers:

  • Medical ID card: Anthem
  • Prescription drug ID card: Express Scripts
  • Dental ID card: Delta Dental of Missouri
  • FSA spending card: UnitedHealthcare

Prior to October 1, you can search as a “guest” for your providers to confirm if they are considered in-network under Olin’s Gold and Silver medical plans with Anthem BlueCross BlueShield. There are two ways to do this:

  1. Click here and it will take you directly to the provider search and applicable network.
  2. Log onto anthem.com then follow these steps:

Click “Find a Doctor / Find Care” at the top of the screen
Click “Guests (Not a member)”
Enter the following criteria:

  • What type of Care are you searching for? Medical
  • What state do you want to search with? Missouri / Kansas
  • What type of Plan do you want to search with? Medical (Employer Sponsored)
  • Select a Plan/Network. Preferred-Care Blue (KC) (Select Network)

Click Continue
You can then search for your provider.

Note: Effective October 1, you will be able to log into anthem.com using your new member ID under the Olin plans to search for a provider.

iconACTION NEEDED! Dependent Information

As a result of data audits related to the Q4 special enrollment period, Olin identified several employees who are currently enrolled in Supplemental Spouse and/or Dependent Life Insurance whom Olin is missing information related to your covered dependents.

The Olin Corporate Benefits team will be making direct outreach via email to the effected employees requesting documentation related to these dependents in order to maintain coverage under the Supplemental Life Insurance plans. We encourage employees to monitor their personal email for such outreach as you do not want to miss the deadline. If proper documentation and all required information related to your dependents is not receive by the deadline, your enrollment under the associated plans will be terminated effective October 1, 2020.

As previously communicated, Olin was unable to obtain beneficiary information from Northrop Grumman. If you would like to designate a beneficiary for your Company-provided life insurance and/or your employee supplemental life insurance, please complete the MetLife Beneficiary Designation Form. Once you have completed the form, return it to Olin Corporate Benefits at CorporateBenefits@olin.com.

At the end of this month, we will distribute your new Winchester badge. This badge will replace the Northrop Grumman badge you have now. You will continue to use your federal badge until spring 2021 when it is due for renewal. Note: Your new Winchester badge will include your Olin employee ID number.

iconImportant Information for Employees on Disability and Leaves of Absence

Those on disability or a leave of absence on October 1, 2020, will need to apply for employment with Olin Winchester, LLC when they are ready to return to work.

  • Military Leave – If you are on an active Military leave with Northrop Grumman, you may apply for employment with Olin Winchester, LLC upon receiving your full release to return to work based on the expiration of your orders. You will be treated the same as all LCAAP employees hired by Olin Winchester, LLC on October 1. You will retain your original hire date and will be vested in all health and welfare plans upon becoming an active employee with Olin Winchester, LLC.
  • Any Employee Leaves of Absence and Short-Term Disability – You may apply for employment with Olin Winchester, LLC when your leave ends and will be treated as a new hire. You will receive a new hire date and seniority date, and will need to meet all vesting requirements for Olin Winchester, LLC health and welfare plans.
  • Long-Term Disability (LTD) – If you’re on an active LTD, you may apply for externally posted openings and will be considered for employment along with all similarly situated applicants.

It's Time to Take Action

Health and Welfare Benefits

The enrollment period for Olin health and welfare benefits for the remainder of 2020 (October - December) ends on Wednesday, August 26. Olin has automatically mapped you to "like" coverage that will be effective October 1, 2020, under an Olin-sponsored benefit plan. We want to ensure you agree with the elections we have mapped you to based on information we received about your current coverage. If you came by the Open Enrollment event at the Hilton Garden Inn in Independence last week, then you are all set. If you did not attend and wish to check what benefits you are mapped to, you can come by the Winchester HR offices in Building 3 Mezz. If you want to make any corrections to your mapped coverage, you must do so by Wednesday, August 26, 2020. If your benefits are currently waived and you do not correct the mapping, you will have no coverage and will not be able to enroll for these benefits until our 2021 Open Enrollment event in November 2020.

I-9 Process

If you want to be employed by Olin Winchester, LLC on October 1, 2020, you must complete the I-9 Process. About 60 individuals have yet to complete the process and will not have a job on October 1 unless action is taken now. Please bring your documentation to the Building 3 Winchester offices during normal business hours. Not sure what documentation to bring? See page 2 of this flyer.

Your 2020 Benefits

For employees at Lake City Army Ammunition Plant (LCAAP) who join Olin Winchester, LLC (Winchester) on or after October 1, 2020 (LCAAP employees), you will become eligible to participate in various Olin benefit plans upon employment with Winchester. We are committed to supporting your health and well-being as you join the Winchester family, which is why we will provide a variety of benefits for your physical, financial, and emotional well-being.

If you were employed by LCAAP prior to Olin Winchester taking it over and are hired by Winchester as an LCAAP employee on October 1, 2020, you are immediately eligible for Olin benefits. For some benefit programs, if you are currently enrolled under a particular benefit plan at LCAAP (e.g., medical plan), Olin will automatically map you to “like” coverage, effective October 1, 2020, under an Olin-sponsored benefit plan, as outlined in the table below.

If you wish to modify the mapping Olin has applied, enroll in an Olin benefit plan for which mapping was not done, or modify your covered dependents under an Olin benefit plan, you will have the opportunity to modify your 4th quarter 2020 Olin benefit plan enrollment during a special enrollment period, scheduled to take place Monday, August 17 – Wednesday, August 26.

Early to mid-August, you will receive several email communications related to 2020 Benefits. One of the communications you will receive will contain instructions on how to access a pre-recorded 2020 Benefits presentation, along with the open enrollment materials, that are intended to provide you with detailed information about the Olin benefit plans (e.g., specific employee contribution levels, deductibles, annual limits) along with all the details surrounding the special enrollment period.

You will also receive a pre-enrollment benefits summary. The summary will be sent to you from Olin_Corporate_Benefits@olin.com. The benefits summary will outline the mappings Olin has applied to your enrollment, as well as confirm the verified dependents Olin has loaded under Medical, Dental, and Vision. This information will help you determine what action, if any, you will need to take during the special enrollment period.

In the meantime, the table below provides a brief overview of the 2020 Olin health and welfare benefits and how you will transition to them. You will receive separate communications regarding Olin’s Contributing Employee Ownership Plan (CEOP).

Benefit Description of Olin Benefit Plan(s) Transition Information
Medical Plan There are two Preferred Provider Organization (PPO) type medical plan options, the Gold and Silver plans.

The Gold Plan provides higher levels of coverage with higher employee premium contributions. The Silver Plan provides slightly lower levels of coverage with lower employee premium contributions.

Each plan has a deductible and out-of-pocket maximum to limit your expenses in any year.

Both plans are administered by Anthem BlueCross BlueShield, which also administers your current medical plans at LCAAP.
  • You will automatically be enrolled in the Olin medical plan and coverage tier that is closest to your current medical plan enrollment at LCAAP.
  • If you do not have current medical plan coverage at LCAAP (e.g., you have medical coverage through your spouse’s employer), you will not be automatically enrolled in any Olin medical plan.
  • For the 2020 Olin medical plan coverage, Anthem will recognize the amounts you have accumulated toward your deductible and out-of-pocket maximum in your current medical plans at LCAAP through September 30, 2020.
  • Your enrolled dependents under your current medical plan at LCAAP (if any) will transfer to your Olin medical plan coverage, so you do not have to re-enroll them or show proof of age or relationship at this time.
  • You will pay an employee premium contribution for the Olin medical plans in accordance with the Olin premium structure.
  • The employee premium contribution amount for Olin medical plans typically vary if you or your dependents are tobacco users. As tobacco user status was not part of the records provided for this transition, the premium contribution amounts applied to LCAAP employees for 2020 Olin medical plan coverage will be the Non-Tobacco User premium contribution amounts. Please note that as part of Olin’s normal open enrollment process for 2021 benefits, such variation in premium contributions amounts will apply based on tobacco user status and you will be asked to certify your and your dependents tobacco user status.
Prescription Drug Coverage Prescription drug coverage is administered separately from your Olin medical plan. Olin’s pharmacy benefit manager is Express Scripts.
  • No separate election is required during enrollment. You will automatically be enrolled in prescription drug coverage if you are enrolled in an Olin medical plan.
  • The pharmacy benefit is the same under both Olin medical plans.
Dental Plan There are two Olin dental plan options, the Delta Dental Gold Option and the Delta Dental Silver Option. While the plans are similar, the Gold Option provides some enhancements, including orthodontia coverage. The Silver Option is free to employees, meaning you pay no employee premium contribution if you are enrolled in this plan. Both plans are administered by Delta Dental of Missouri.
  • You will automatically be enrolled in the Olin dental plan that is closest to your current dental plan enrollment at LCAAP.
  • If you do not have current dental plan coverage at LCAAP (e.g., you have dental coverage through your spouse’s employer), you will not be automatically enrolled in any Olin dental plan.
  • Olin was unable to obtain information related to your enrolled dependents under your current dental coverage at LCAAP (if any) as part of the records provided for this transition; therefore, all dependents enrolled under your current medical plan coverage at LCAAP (if any) will be automatically enrolled under the Olin dental plan (as applicable).
Vision Plan There is one Olin vision plan option, administered by UnitedHealthcare Vision.
  • Provided that you are currently enrolled in vision plan coverage at LCAAP, you will automatically be enrolled in the Olin vision plan.
  • Olin was unable to obtain information related to your enrolled dependents under your current vision plan coverage at LCAAP (if any) as part of the records provided for this transition; therefore, all dependents enrolled under your current medical plan coverage at LCAAP (if any) have been automatically enrolled under the Olin vision plan (as applicable).
Spending Accounts There are two types of Flexible Spending Accounts (FSAs) at Olin: a Health Care FSA and a Dependent Care FSA. You can use the Health Care FSA to pay for eligible health care expenses for you and your dependents. The Dependent Care FSA can be used to pay for eligible child care expenses. The Olin Health Care FSA is administered by UnitedHealthcare and the Olin Dependent Care FSA is administered internally by Olin Corporate Benefits.

Olin does not offer a health savings account (HSA) option.
  • To participate in either the Olin Health Care FSA or Dependent Care FSA in the 4th quarter of 2020, you must make an active election during the special enrollment period in August 2020.
  • For any eligible expenses you incur through September 30, 2020, you will need to utilize your current HSA or FSA at LCAAP (if any). Such expenses incurred prior to your employment with Winchester would not be eligible expenses with respect to the Olin FSA plans.
Disability Programs Olin provides Short-Term Disability (STD) and Long-Term Disability (LTD) coverage. Olin pays the full cost of providing STD, as well as the Low Option LTD Plan, which covers 60% of your Base Monthly Pay. Olin also offers the option to purchase additional long-term disability coverage, which provides a benefit of 66.67% of your Base Monthly Pay up to a maximum. The Olin STD and LTD programs are administered by Unum.
  • You will be automatically enrolled in the Olin-provided Short-Term Disability coverage and the Low Option Long-Term Disability Plan.
  • To enroll in the Olin High Option LTD Plan for the 4th quarter of 2020, you must make an active election during the special enrollment period in August 2020.
  • The Olin High Option Long-Term Disability Plan is available at an additional cost to you.
Life Insurance Olin provides Basic Life Insurance coverage equal to your annual base pay.

In addition to the company provided life insurance, Olin offers the option to purchase Supplemental Life Insurance. Additional coverage is available for you, your spouse, and your dependent children.

Life Insurance is provided through MetLife.
  • You will be automatically enrolled in the Olin-provided Basic Life Insurance coverage equal to one times your annual pay.
  • In regards to Supplemental Life Insurance, employees who are currently enrolled in supplemental life at LCAAP will automatically be enrolled in Olin Supplemental Life Insurance coverage and be mapped to the Olin provided coverage tier that is closest to their current enrollment.
  • During the special enrollment period in August 2020, you may increase your current supplemental life insurance coverage level by one-tier (one tier is equivalent to ½ times base pay).
Employee Assistance Program The Employee Assistance Program (EAP) provides tools and resources to Olin employees and their eligible dependents to help them deal with life’s stresses.
  • You will automatically receive this EAP benefit for you and your eligible dependents.

Please note that if you are hired at LCAAP by Winchester after October 1, 2020, the above transition and mapping process will not be applicable to you, and your benefit plan enrollment at Olin will generally be treated in a similar manner to any newly hired employee.

Your 2021 Benefits

Please note that your 2020 Olin benefit elections (whether through the mapping above or made at the special enrollment window in August 2020) will not rollover into 2021. For 2021, you will need to enroll during the normal Open Enrollment process in November 2020 if you would like to continue coverage or elect new coverage under the Olin benefit plans for 2021. More information will be provided about the 2021 Open Enrollment process closer to November 2020.

If any information listed here conflicts with legal documents of any Olin benefit plan, those legal documents (as interpreted by the plan administrator) shall govern in all cases. Deadline Extended to Complete I-9 Process

If you were unable to make it to the Hilton Garden Inn to provide your documentation for Section 2 of Form I-9, you now have until Friday, August 21. Please bring your documentation to the Building 3 Winchester offices during normal business hours.

Remember, the I-9 process is mandated by Federal law. All prospective employees must complete Form I-9 in its entirety to finish the hiring process for Olin Winchester, LLC.

Verify Your Employment Eligibility

Another step in completing the onboarding process at Winchester is completing the I-9 process. Federal law requires employers to verify that employees have the legal right to work in the U.S. All new employees are required to complete Form I-9, Employment Eligibility Verification.

There are two steps to complete this process. We need you to complete the first step by Sunday, July 26. Read this overview to understand what we need you to do now, and how you can start preparing for the second step. Time Is Running Out to Submit Your Onboarding Materials

If you have not completed the necessary onboarding paperwork that is required of all future Winchester-Lake City employees, please do so as soon as possible. We want to help you make your transition to Winchester as easy as possible. Winchester Human Resources is located upstairs in BLDG 3 in the Winchester office. Please come by between 7:30 a.m. and 5:30 p.m. to either drop off your packet or to obtain one. In addition, please remember that with your packet we will require a voided check or an account verification memo from your bank.

Centerra to Continue Security and Fire Protection at LCAAP

Winchester is excited to award Centerra the contract for security and fire protection at Lake City Army Ammunition Plant (LCAAP). These are critical services for the protection of Lake City employees, the facility and the surrounding community. Centerra’s performance under the existing contract, the day-to-day professionalism onsite today, and the organization’s overall expertise proved to be decisive factors in the selection process.

Winchester anticipates a seamless transition with current Centerra staff remaining in place after the transition of management to Winchester. Winchester and Centerra will work together to ensure necessary communications and transitions are made before and during the transition for security and fire protection. Day-to-day operations should continue with only changes being made in areas of need. This decision is an important one in Winchester’s continuing efforts to transition employees, services and processes to achieve an effective transition at LCAAP. We look forward to working with Centerra as a part of the LCAAP – Winchester overall team.

Winchester Hourly New Hire On-Boarding – Phase 1

Starting Tuesday, April 7, the Winchester HR team will be set up in the building cafeteria during your unpaid lunch break. During this time, we would like to assist you in starting your on-boarding process to become a Lake City Winchester employee. We will have laptops (and cleaning wipes) available to assist you in filling out the following; direct deposit form, tax forms, personal information form, voluntary self-identification forms and an employee possessor application. You also have the option to fill out the forms at home (details below).

Winchester mails offer letters to 1,300 wage employees; salaried letters coming in April

The Winchester Human Resources team recently mailed more than 1,300 letters to current Lake City wage employees. Those letters included a conditional offer of employment.

As Winchester’s VP/GM Steve Goldschmidt mentioned during the recent all-hands meetings, he and his team are working to determine the staffing level they will need to effectively operate Lake City. Once that is determined, they will share that information with all employees.

Winchester is also in discussions with the local union in order to prepare for the upcoming collective bargaining agreement negotiations. They hope to be able to provide more detailed information about that process prior to October 1, 2020.

icon STAFFING PLANS

As Goldschmidt previously announced, Winchester plans to fill approximately 95% of its staffing needs from current Northrop Grumman Lake City employees. Now that conditional offers of employment have been sent, the next step for the wage workforce will be to start the Winchester onboarding process.

icon ONBOARDING PROCESS

You will likely need to complete the onboarding process during your unpaid lunch break or before or after your normal work hours. Winchester will send out a detailed communication describing when, where and what you will need to bring to the onboarding in the near future.

iconSALARIED EMPLOYEES

Winchester is diligently working on organizational sizing for the salaried workforce, as well. The Winchester HR team wants to be able to provide as much information as possible, but this process takes time. Because of this, they plan to have offer letters out to salaried employees by mid-April.

Because they are working on each organization and function individually, it is likely that some salaried employees will receive an offer letter several days, or even weeks, earlier than employees in other organizations or functions.

For example, if they finish the Engineering organization first, employees in some functions within that organization will receive letters shortly thereafter. If you do not receive a letter right away, it doesn’t mean that you are not getting an offer; it just means that your organization or function is still being worked.
